This policy explains how Edvance Pathways ("Edvance Pathways", "we", "us") handles personal
information. We follow the information privacy principles in the New Zealand Privacy Act 2020.
It applies to this website and to enquiries you send us by web form, email, phone or WhatsApp.
What we collect
We only collect what we need to answer your enquiry and provide our services.
When you use the contact form
- Name — so we can address you properly.
- Email address — to reply to you.
- Phone number (optional) — if you would prefer us to call.
- Subject and message — the details of your enquiry.
- Your CV (optional) — if you choose to attach one, so we can assess which courses or
pathways suit your background.
When you create an account
- Your contact details, and the profile information you enter.
- For business or member accounts, business details such as trading name and GST number.
- Documents you upload, such as a CV or proof of payment.
Automatically
- Standard server logs (IP address, browser type, pages requested) kept for security and diagnostics.
- Cookies strictly necessary for the site to work — keeping you signed in and protecting forms against
cross-site request forgery.
Why we collect it
- To respond to your enquiry and give you education and study-pathway guidance.
- To assess your eligibility for courses and to make applications to institutions on your behalf, with
your agreement.
- To refer immigration matters to a Licensed Immigration Adviser, where you ask us to.
- To administer your account, invoices and payments.
- To send you our newsletter, but only if you have opted in.
We do not sell your personal information, and we do not use it for automated decision-making or profiling.
Who we share it with
We disclose personal information only where it is necessary, and only to:
- Education providers — universities, institutes and colleges you have asked us to apply
to, and only the information needed for that application.
- A Licensed Immigration Adviser — where your enquiry concerns immigration and you have
asked us to refer it. Immigration advice in New Zealand may only be given by a licensed adviser, a
registered lawyer, or an exempt person.
- Service providers — our website hosting and email providers, who process data on our
instructions.
- Where the law requires it — for example a lawful request from a government agency.
How we store and protect it
- Uploaded documents such as CVs are stored outside the publicly accessible part of our website and are
not linked from any public page. They can only be retrieved by authorised staff after signing in.
- Access to enquiry and account records is restricted to staff who need it.
- The site is served over HTTPS, and passwords are stored hashed, never in plain text.
No system can be guaranteed completely secure. If a privacy breach occurs that is likely to cause serious
harm, we will notify you and the Office of the Privacy Commissioner as required by the Privacy Act 2020.
How long we keep it
- Enquiries and attached CVs — kept for up to 24 months after our last contact with you,
then deleted, unless you become a client.
- Client and account records — kept for 7 years after your file closes, to meet tax and
business record-keeping obligations.
- Newsletter subscriptions — kept until you unsubscribe.
You can ask us to delete your information sooner — see below.
Your rights
Under the Privacy Act 2020 you have the right to:
- Access the personal information we hold about you.
- Correct anything that is wrong or out of date.
- Withdraw consent for marketing at any time.
- Ask us to delete your information, where we are not required to keep it.
- Complain to us, and to the Office of the Privacy Commissioner if you are not satisfied
with our response.
Email [email protected] and we will respond within 20 working days. There is no
charge for these requests.
Newsletter
We only add you to our newsletter if you tick the box asking us to. Every newsletter includes an unsubscribe
link, and you can also email us to be removed.
Children
Our services are aimed at people aged 18 and over. If you are under 18, please have a parent or guardian
contact us on your behalf.
Changes to this policy
If we change this policy we will update the "last reviewed" date above. Material changes affecting how we use
information you have already given us will be notified to you directly where we can.
